The contact information area should be professional in appearance and not take up a great deal of space. It is better to use the same professional heading for the letter that has been used for the resume- this is a form of “branding.”

RE: State the Job Title and Position Number

Dear Mr. (or Ms.) Last Name (ensure the name is accurately spelled),

Begin your letter with a key sentence that will capture the employer’s attention. Draw their attention to particular skills/expertise/credentials and provide an overall summary type statement that will entice the employer to read more. Briefly specify the position to which you are applying and/or how you found out about it. This is a short introductory paragraph.

Start this first middle paragraph with your strongest point. It is here that you demonstrate your competitiveness by emphasizing your unique selling features. Showcase the research that you have conducted on the needs of the department and accentuate a few key accomplishments from your work history. The goal of a well-written, business style cover letter is to motivate the employer to read your resume.

Communicate your genuine interests and motivation by infusing your descriptions with action words. Customize your background to the requirements stated in the job posting based on your background research. Indicate to the employer how you can solve problems and demonstrate that you understand their needs. Cover letters pique their curiosity and answer the question why you are a strong candidate.

An alternative style for cover letters is bullet point format. Use short points that capture your key qualifications and achievements, as follows:

  • Highlight key qualifications that are your best marketing features, without duplicating your resume.
  • Describe your qualifications, skills and personality in a positive way.
  • Link your accomplishments and strengths to the job requirements.
Your last paragraph should initiate action by identifying your next steps (e.g. call the employer, if appropriate). Ask for an interview. Express interest. Close with a positive statement. A great way to end your letter is to include a sentence that conveys your motivation to work with this team/department, such as stating that the position is directly related to your career aspirations.

Sincerely,

Your Name (indicate personnel number)
